Purpose of the job
To provide administrative and related support to the Components of Investigations Department of the NCC.
Key Responsibilities
1. Provide secretarial and administrative support to officials of the departments
1.1. Assist with planning, co-ordinating, organising and recording of the Investigations Unit meetings appointments
1.2. Assist with quality checking Submissions and Memoranda to request approval of Conventional and CTFL investigations
1.3. Assist with drafting requests for subpoenas or summons issued against suppliers, reference the subpoenas / summons
and maintain a Register thereof
1.4. Assist with making travelling arrangements for Inspectors and the Director: Investigations, and submit travel claims
1.5. Assist with quality checking Investigation Reports, whether Conventional or CTFL related, upon submission to the Unit
1.6 Assist with maintenance and capturing of daily, weekly, monthly, quarterly and annual statistics of all Detention Notices
received from SARS Customs
1.7. Assist in compiling monthly MANCO Performance Reports, Quarterly Reports and the Annual Report
1.8. Assist in target setting and appraisal of individual Inspectors, and the maintenance of performance records
1.9. Maintain and update CTFL and Conventional investigation case registers, Detention Notices, Total and Partial / Complete
Release Letters
1.10.Assist in communication with relevant stakeholders in respect of CTFL and Conventional investigations
1.11.Handle correspondence
2.12. Assist with file management, including opening them, referencing, safe keeping and manage document movement
2.13.Assist in preparation of evidence for auditors (internal and external)
Manage the administrative functions of the unit
2.1. Confirm and monitor the budget allocated implementation of the Unit APP / Operational Plan Targets
2.2. Obtain all necessary prior approvals for all expenditure
2.3. Assist in the management of client enquiries, including the planning, coordination and recording of the enquiries Meetings
2.4. Create and follow up on Action Lists from the Meetings
2.5. Take accurate messages for all officials
2.6. Compile agenda for Unit meetings in consultation with the Unit Head
2.7. Perform all meeting related secretarial functions:
2.7.1. Timeous issuing Meeting Notifications
2.7.2. Preparation and distribution of meeting packs
2.7.3. Accurate recording of Minutes of Meetings and resolutions
2.8. Confirmation of quorum and facilitate completion of attendance lists
2.9. Maintain leave register with updated and accurate records
2.10.Retrieval and storage of case related files and documents
2.11. Assist with securing resources for officials and Division
2.12. Arrange all team building and special events for the Division
Manage all travel and accommodation arrangements
3.1. Assist and make arrangements for official travel including accommodation arrangements for officials
3.2. Ensure that the necessary approvals are obtained for travel and accommodation requests
3.3. Manage the travelling and accommodation bookings
3.4. Assist with subsistence and travel and claims
Ensure accurate administration of financial, stationery and procurement functions of the Unit
4.1. Manage stationery control function
4.2. Assess requirements or needs of the Unit
4.3. Obtain necessary approval for ordering of stationery
4.4. Attend to petty cash function and control
4.5. Ensure that claims and payments are made under proper line items in budgets
Manage the assets and maintenance of equipment
5.1 Manage assets and maintenance of equipment
Coordinate activities in the Unit
6.1 Facilitate activities for the Unit, relating to conventional investigations, market monitoring, CTFL investigations.
Minimum Qualifications:
Matriculation: plus, Diploma in Office Administration/ Law and EB divers licence.
Minimum Experience :
2 years secretarial/legal assistance experience in private sector or government service
Training:
Computer Literacy: MS Office Package and knowledge of regulatory framework
