Post : EXECUTIVE ASSISTANT TO THE DEPUTY COMMISSIONER
Salary : R319 325 PER ANNUM
Centre : Pretoria, Groenkloof
Purpose of the job
To provide administrative and related support to the Deputy Commissioner.
Key Responsibilities
- Provide secretarial and administrative support to the Deputy Commissioner
1.1 Coordinate and organise meetings/appointments for the Commission
1.2 Make arrangements for the refreshments and attend to other necessary logistics for meetings amongst officials and between
other stakeholders
1.3 Provide the necessary support for events, including registration, preparation of documentation and presentations
1.4 Receive guests and clients for officials
1.5 Do typing of reports and submissions
1.6 Assist with maintenance and capturing of statistics and other records
1.7 Open and label of files in the approved format
1.8 Receive and distribute mail and other relevant correspondence
Efficiently manage the administrative functions of the unit
2.1. Obtain all necessary prior approvals for all expenditure
2.2 Diary Management: Take accurate messages for all officials
2.3 Provide administrative support at certain meetings as requested by officials
2.4 Compile agendas for meetings after consultation with officials
2.5. Ensure attendance lists are completed
2.6. Keep accurate records of minutes and attendance lists
2.7. Maintain leave register with updated and accurate records
2.8 Retrieval and storage of case related files and documents - Manage and coordinate all travel and accommodation arrangements
3.1 Assist and make arrangements for all senior official travel including accommodation arrangements
3.2 Ensure that the necessary approvals are obtained for travel and accommodation requests
3.3 Manage the travelling and accommodation bookings
3.4 Assist with subsistence and travel and claims - Ensure accurate administration of financial, stationery and procurement functions of the unit
4.1 Manage stationery, assess requirements, obtain necessary approval for ordering of stationery, receive, and distribute
4.2. Attend to petty cash function and control
4.3 Ensure that claims and payments are made under proper line items in budgets - Coordinate the assets and maintenance of equipment
5.1 Manage assets and maintenance of equipment
5.2 Keep asset control register
5.3 Keep equipment register and update where necessary - Coordinate mentorship programme for the divisional assistants
6.1 Provide assistance and guidance during the interviews of divisional assistants
6.2 Provide orientation for divisional assistants
6.3 Supervise the interns (PA)
Minimum Qualifications: National Diploma Secretariate or Office Management.
Minimum Experience : 3 years administrative experience in private or government sector
Training: Computer Literacy: MS Office Package
